This is an exciting opportunity to join CIPW, a national leader in Private Wealth. The Alternatives Operations Specialist works with internal staff and external alternative investment service teams to manage all Alternative Investment subscriptions, capital calls and other related tasks. As the Alternatives Operations Specialist you will work for CIPW’s national support team to support Alternatives offerings across the platform, and will dedicate 50% of your day to working directly with RegentAtlantic, a fee-only RIA in the tri-state area. The Alternatives Operations Specialist will be part of the evolution of an exciting new national player, helping to build Alternatives across the platform, while supporting RegentAtlantic’s established practice. You will join as a member of CIPW’s Operations Team, with additional functional guidance provided by the RegentAtlantic Investment Team.

Job Duties

  • Assist in preparing, tracking and managing all subscription documents and relevant paperwork for the firm’s alternative investments
  • Work with external alternative investment service teams and CIPW/RegentAtlantic’s internal AI team to process capital calls accurately and in a timely manner
  • Communicate with internal staff and clients to gather relevant information
  • Monitor the official notice of the capital call process i.e. alert teams that a capital call came through
  • Assist with collecting capital call data and share with investment team
  • Assist with making cash available for capital calls, working closely with the investment team
  • Assist in the capital call wire process with respective Custodians
    • Verify capital calls against list of clients invested and their commitments
    • Provide instructions to Custodians, working with the investment team
    • Confirm with Custodians that wires were sent to the fund
    • Liaise with Custodians and identify any escalation requirements
  •  Ensure accounts are set-up correctly for investments held directly in ADVISOR VIEW
  • Responsible for ensuring Funds / Investments are properly set up on the appropriate custodian platforms as well as CIPW and RegentAtlantic systems
  • Keeping the cost basis on relevant investments up to date
  • Adding capital commitments and reconciling alternative investments performance
  • Coordinating and monitoring the tax documentation process for alternatives; ensure that the schedule for receiving tax documents from Funds is accurate and communicated to advisors, team members (and clients) in a timely manner
  • Ensure that the actual tax documents (K-1s and 1099s) are made available for distribution
  • Account setup in Canoe
  • Identifying where there may be issues and communicating those issues to Investment Team for Review / investigation as required
  • Assist with database tasks
  • Review materials and contribute to the training program for alternatives
  • Hands on power user of all relevant software platforms and systems – Canoe document management system, CRM, ADVISOR VIEW (Envestnet/Tamarac), DocuSign, LaserFiche, MS Office 365 Suite

Requirements

  • Bachelor’s degree with a strong academic record
  • Highly detail-oriented
  • Prior experience related to alternative investments preferred
  • Prior experience in a client service function preferred
  • Must have strong organizational skills, attention to detail, and the ability to prioritize in a rapidly changing environment and adeptly jump between projects
